Office hours are by appointment only to allow ample time for all patients and scheduled surgical procedures. During our office hours, we may also see some patients on emergency visits. We make every attempt to see everyone in a timely manner, and understand our clients have busy lives also. A high volume of emergency or critically ill patients may cause some delay in our delivery of services. If we are running behind our appointment schedule, we will make every attempt to communicate wait times with our clients and give them the option of rescheduling if they are unable to wait.
New Client Policy
We are happy to be accepting new clients to Acadia Veterinary Clinic! Please be aware that new clients may be required to pay a Booking Deposit Fee ($50) at the time of scheduling an appointment. The Booking Deposit Fee will be applied towards your invoice the day of your appointment. If you require to reschedule or cancel your appointment, the Booking Deposit Fee can be transferred or refunded provided at least 24 hours notice from your scheduled appointment, is given. In the event that you cancel with less than 24 hours notice, or no-show for your appointment time, a Cancellation or No-Show Fee will be charged to your account.
Patient Arrival Policy
For your protection and safety of your pet, and that of others, we require that all dogs be on a short leash and properly controlled while in our waiting area or exam rooms. All cats must arrive in an appropriate cat carrier or on a leash. Exotic pets (birds, small mammals, reptiles) should be in an appropriate carrier, cage, or box.
We require full payment at the time our services are rendered or upon pick up/discharge of your pet from our hospital. For your convenience, we accept Cash, Debit, Visa, Mastercard and E-Transfer.
Upon request we can provide a written estimate for costs of recommended diagnostic testing, procedures, treatments, or medication. In some instances, a deposit may be required for significant emergency procedures or hospitalized patients.
We do not accept payment plans directly through our hospital, however we are able to offer financing through Petcard (iFinance). Please note that PetCard financing approval must be in place PRIOR to your appointment and performing of our services. Late Arrival, Cancellation and No-Show
Acadia Veterinary Clinic is committed to providing all our patients with exceptional care. Our goal is to provide timely service to all our patients and to respect the veterinarian’s time but also the time of our clients and the constraints of a tightly booked schedule. Due to high demand for appointments, late arrivals, cancellations, or no-shows without advanced notice prevent our other patients from being seen and receiving care.
For this reason, we have implemented a Late Arrival, Cancellation and No-Show Policy for all medical and surgical appointments scheduled at our hospital.
Late Arrival Policy
If you arrive more than 10 minutes late for your scheduled appointment and your appointment can not be completed within the time remaining, you may be asked to reschedule for a different day so as not to delay the next appointment. Repeated late arrivals for appointments may results in our Cancellation Fee charge or require a Booking Deposit Fee prior to future scheduling.
Should you need to reschedule or cancel your appointment, please contact our clinic as soon as possible by call or email. This allows us to accommodate our other patients who may need prompt medical care Existing Client Appointments must be cancelled at least 12 hours prior to the scheduled appointment time.
Cancellations that occur with less than 12 hours notice may result in a Cancellation Fee charge ($50 charge). Repeated cancellations without 12 hrs notice may result in requirement of a Booking Deposit Fee prior to future scheduling.
*Please note all New Client appointments require 24hrs notice to cancel.
Clients that “No Show” for their scheduled appointments will be charged a No-Show Fee ($50.00). Repeated No-Shows may result in requirement of a Booking Deposit Fee prior to future scheduling of appointments.
Surgeries or procedures must be cancelled or rescheduled at least 48 hours prior to the scheduled date. No-showing, Cancelling or Rescheduling without providing such notice may result in a Surgery No-Show/Cancellation charge ($150). Some Exception may apply.
**As a courtesy, and when time permits, our staff make confirmation phone calls or e-mails for upcoming appointments. If you do not receive a reminder, the above policies will still be in effect. We understand that extenuating circumstances do arise that may result in late arrival or cancellations; please discuss with a member of our Client Care team for more information.
